Informing about the processing of personal data

You have expressed an interest in helping to organise the One World Festival. On this basis, People in Need will store and use your personal data.   

 What data is involved:  

  • Personal data filled in the registration form, including a photo for accreditation purposes.  
  • Photographs taken during the festival of which you may be captured (if you do not wish to be photographed, please arrange with the photographer for a specific screening/event)  

 What People in Need will use your data for:  

  • To record your interest in helping, to coordinate volunteers at the festival, and to produce passes for admission to performances.   
  • In the case of photographs taken during the festival, for promotional purposes. 

Why People in Need needs to use your data:  

  •  To fulfill the volunteer contract; 
  • People in Need also has a "legitimate interest" to use your data for promotional purposes (photographs) and in case of renewed cooperation with you, and for the establishment, exercise or defence of legal claims;  
  • In the case of your health data (so-called special categories of personal data), the use of the data is based on your consent.   

 How long People in Need will hold your data:  

  • For the duration of the festival and then for 1 year to allow for the possibility of renewing cooperation for the next edition of the festival.  

  • In the case of photographs taken for promotional purposes, for the duration of the One World Festival. 

To whom People in Need can pass your data:  

  • The data will not be passed on to any other person. Contact and identification information will be shared with other volunteers within the shift logging application. Photos may be published and distributed.  

Information about your basic rights:  

  • The right to request information about what personal data People in Need processes about you,  

  • The right to request an explanation from People in Need regarding the processing of your personal data,   

  • The right to request that People in Need access and update or correct your personal data or restrict its processing and the right to object to processing,  

  • The right to obtain personal data in a structured, commonly used and machine-readable format where the processing is based on consent or on a contract,  

  • The right to request that People in Need erase the data if one of the legal grounds is fulfilled, in particular if the consent to the processing of sensitive data has been withdrawn,  

  • The right to withdraw consent to the processing of sensitive data at any time, for example by sending an email or letter to the contact details of People in Need,  

  • The right to contact People in Need or the Office for Personal Data Protection in case of doubts about compliance with the obligations related to the processing of personal data.
